Senior Director of Finance and Adminstration

For this Senior Director of Finance and Administration position, we’re excited to find an exceptional and passionate individual to join our leadership team. As the Senior Director of Finance and Administration, you will play a critical cross-functional role as a strategic thought-partner and report to the Chief Executive Officer (CEO). 

The successful candidate will be a hands-on and participative manager who will lead and develop internal/external teams to support the following areas of the business: finance, business planning and budgeting, human resources, information technology and general business administration.  The Senior Director of Finance and Administration will play a critical role in partnering with the senior leadership team in strategic decision making and financial operations. Key Job Responsibilities include:

Financial Planning and Analysis (FP&A):

  • Collaborate with the leadership team to develop and execute financial strategies that support the Company’s growth objectives and long-term sustainability.
  • Oversee and lead the annual budgeting and planning process in conjunction with the CEO; administer and review all financial plans and budgets; monitor progress and changes; and keep senior leadership team abreast of the organization’s financial status.
  • Monitor key performance indicators (KPIs) and financial metrics to track progress against strategic goals and identify areas for improvement.
  • Effectively communicate and present the critical financial matters to the leadership team and board of directors.

Financial Reporting and Compliance:

  • Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly and annual financial statements; collate financial reporting materials, and oversee all financial, project/program and accounting.
  • Coordinate and lead the annual audit process, liaise with external auditors and the company leadership team.

Capital Management:

  • Manage organizational cash flow and forecasting.
  • Implement a robust contracts management and financial management/reporting system; ensure that the contract billing and collection schedule is adhered to and that financial data and cash flow are steady and support operational requirements.
  • Update and implement all necessary business policies and accounting practices; improve the finance department’s overall policy and procedure manual.
  • Manage capital allocation decisions, including fundraising, debt financing, and equity investments, to optimize the company’s capital structure and liquidity position.
  • Evaluate potential investment opportunities, partnerships, and M&A transactions to support growth initiatives and enhance shareholder value. 

Vendor Management:

  • In conjunction with the CarbonQuest leadership team, develop and maintain relationships with key vendors, suppliers, and service providers, negotiating contracts and agreements to ensure favorable terms and cost efficiencies.
  • Support the vendor selection processes, conducting due diligence and risk assessments to ensure compliance with company policies and standards.
  • Collaborate with internal stakeholders to evaluate vendor performance, assess risks, and identify opportunities for process improvement and cost optimization.

Human Resources, Technology and Administration:

  • In conjunction with the CEO, further develop the company’s human resources and administration, enhancing professional development, compensation and benefits, performance evaluation, training, and recruiting.
  • Ensure that recruiting processes are consistent and streamlined.
  • Establish and manage an onboarding and training program to educate employees regarding staff tools, policies, and procedures.
  • Provide guidance and support on employee relations, performance management, and talent development initiatives, fostering a positive and inclusive workplace culture. 
  • In partnership with the leadership team, oversee administrative functions as well as facilities to ensure efficient and consistent operations as the organization scales.

Qualifications / Skills:

  • Bachelor’s degree in finance/accounting, Business Administration; MBA/CPA or related degree preferred
  • Ideally seven to 10 years of overall professional experience with five-plus years of broad financial and operations management experience
  • Deep understanding of financing principles and accounting standards.
  • The ideal candidate has experience of final responsibility for the quality and content of all financial data, reporting and audit coordination for either a division or significant program area, and has preferably overseen a human resources function previously
  • Ability to translate financial concepts to and to effectively collaborate with the company’s leadership team and board of directors. 
  • Technology savvy with experience selecting and overseeing software installations and managing relationships with software vendors; knowledge of accounting and reporting software
  • Understanding of programs that maximize individual and organization goals across the organization including best practices in human resources activities
  • A successful track record in setting priorities; keen analytic, organization and problem solving skills which support and enable sound decision making
  • Excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders
  • A multi-tasker with the ability to wear many hats in a fast-paced environment
